Deleting time returns prepaid hours, and invoices can carry attachments

Deleting a time entry that used prepaid hours now returns them automatically — replacing the workaround we asked you to use last week. You can also attach files to invoice emails, and several Xero screens that quietly did nothing now work.

In v0.37.1 we changed things so that deleting a time entry which had consumed prepaid hours was refused, and asked you to set the entry to non-billable first — that released the hours — and only then delete it.

That is no longer necessary. Deleting the entry now returns the hours to the block by itself.

If you learned the two-step workaround, you can stop using it. Setting an entry to non-billable still releases its hours, so nothing you already do will break; there is simply no longer a reason to do it before deleting.

We changed our minds for two reasons, and both are worth stating plainly:

  • On the web, you never saw the message. The page discarded the explanation and showed only "Failed to delete time entry", so what we shipped as a careful safeguard arrived as a broken Delete button.
  • The safeguard had a gap that lost hours permanently. It recognised entries by a marker that is written at the very end of the booking process. An entry interrupted partway through had used the hours but carried no marker — so it deleted, and the hours stayed spent with nothing left to point at them.

Deleting now releases the hours and removes the entry in a single database operation, so the two can no longer disagree.

Attach files to invoice emails

You can attach files when emailing an invoice — a signed order, a delivery note, a supporting spreadsheet. Up to five files per email, 10 MiB each and 15 MiB in total, covering PDF, Word, Excel, images, text and CSV.

Attaching files is available to owners and admins. It is a new capability, so nothing anyone could do before has been taken away.

Files are checked by their actual content rather than their name, so a file renamed to look like a PDF is refused. If an attachment has not finished uploading, or failed, the invoice cannot be sent until it is resolved — you will not send an invoice that silently arrives without the document you chose.

Two Xero screens that quietly did nothing

"View account type breakdown" did nothing at all when pressed — for every customer, since January. The button was shown to everyone while the information behind it was restricted to our own staff, and the refusal was discarded rather than displayed. It now works, and tells you what it found: how many of your accounts are sales and cost accounts, and whether they came from Xero or were created here.

Reconnecting Xero to the same organisation used to clear the sync state for every linked record, so the next sync re-sent work that was already done. Reconnecting the same organisation now leaves that state alone; only connecting a genuinely new organisation resets it.

Also in this release

  • The time entry form resets properly. Logging one entry as non-billable no longer makes every following entry non-billable until you notice. Billable state has real consequences — it drives prepaid consumption and invoicing — so inheriting it silently was costing people money.
  • Error messages no longer include internal detail. When something failed inside a Xero sync, the message shown in the app could include the underlying database query and the values in it. Nothing left your organisation — it was only ever visible to people who could already see that data — but it was noise where an explanation should be, and it is now a plain description of what went wrong.
